Email Settings for Outlook and Phones (Linux Hosting) Print

  • VirtualMin, productivity, email account, SMTP, POP3, IMAP, email setup, communication, Virtual Server, server configuration, web hosting, Microsoft Outlook
  • 57

Applies to: Linux and WordPress hosting customers (email hosted on our Linux servers)

These are the settings for reading your Webtech-hosted email in Outlook, Apple Mail, Thunderbird, or on your phone. They're the same everywhere — only the menus differ. Throughout, replace yourdomain.co.za with your actual domain.

The settings you need

Usernameyour full email address (e.g. info@yourdomain.co.za)
Passwordyour mailbox password
Incoming server (IMAP)mail.yourdomain.co.za  •  port 993  •  SSL/TLS
Incoming server (POP3 alternative)mail.yourdomain.co.za  •  port 995  •  SSL/TLS
Outgoing server (SMTP)mail.yourdomain.co.za  •  port 587  •  STARTTLS
Outgoing authenticationRequired — same username and password as incoming

Tip: Virtualmin can show you these settings for your own domain: log in, go to Edit Users, and click Show Email Client Settings.

IMAP or POP3? Choose IMAP unless you have a specific reason not to — it keeps mail on the server so your phone, computer and webmail all stay in sync. POP3 downloads mail to a single device.

Setting up Outlook

  1. Go to File > Add Account (new Outlook: Settings > Accounts > Add account).
  2. Enter your email address, choose Advanced options > Let me set up my account manually, and pick IMAP.
  3. Enter the servers and ports from the table, then your password.
  4. Finish, and send yourself a test message.

Setting up an iPhone or iPad

  1. Settings > Apps > Mail > Mail Accounts > Add Account > Other > Add Mail Account.
  2. Enter your name, full email address, password and a description; tap Next.
  3. Choose IMAP. Host name for both incoming and outgoing: mail.yourdomain.co.za; username: your full email address (in both sections).
  4. Save, and test.

Setting up an Android phone

  1. In your mail app (e.g. Gmail): Settings > Add account > Other.
  2. Enter the full address, choose Personal (IMAP), enter the password.
  3. Incoming: mail.yourdomain.co.za, port 993, SSL/TLS. Outgoing: mail.yourdomain.co.za, port 587, STARTTLS, authentication on.
  4. Finish, and test.

Troubleshooting

Password rejected? Make sure the username is the full address, then test the same login in webmail. If webmail also fails, reset the password in Virtualmin under Edit Users.

Can receive but not send? Outgoing authentication must be on, with port 587. Port 25 is often blocked by networks — don't use it.

Certificate warnings? Check the server name is exactly mail.yourdomain.co.za — a typo, or using the bare domain, causes mismatch warnings.
