How to Set Up Outlook and Your Phone (Windows Hosting) Print

  • 0

Applies to: Windows hosting customers (email hosted on our Windows mail platform)

These are the settings for reading your Webtech-hosted email in Outlook, Apple Mail, Thunderbird, or on your phone. The same server details work everywhere — only the menus differ.

The settings you need

Incoming servermail.yourdomain.co.za
Incoming protocolIMAP, port 993, SSL/TLS  (or POP3, port 995, SSL/TLS)
Outgoing (SMTP) servermail.yourdomain.co.za
Outgoing port587 with STARTTLS
Usernameyour full email address (e.g. info@yourdomain.co.za)
Passwordyour mailbox password
Outgoing authenticationRequired — same username and password as incoming

Replace yourdomain.co.za with your own domain name — for example, if your address is info@example.co.za, the server is mail.example.co.za.

IMAP or POP3? Choose IMAP unless you have a specific reason not to. IMAP keeps mail on the server, so your phone and laptop stay in sync. POP3 downloads mail to one device and (by default) removes it from the server.

Setting up Outlook

  1. In Outlook, go to File > Add Account (in the new Outlook: Settings > Accounts > Add account).
  2. Enter your email address, then choose Advanced options > Let me set up my account manually and pick IMAP.
  3. Enter the incoming and outgoing settings from the table above, then your password.
  4. Finish and send yourself a test message.

Setting up an iPhone or iPad

  1. Go to Settings > Apps > Mail > Mail Accounts > Add Account > Other > Add Mail Account.
  2. Enter your name, full email address, password and a description, then tap Next.
  3. Choose IMAP, and enter mail.yourdomain.co.za as both the incoming and outgoing host name, with your full email address as the username in both sections.
  4. Save, then check that a test email arrives.

Setting up an Android phone

  1. Open your mail app (e.g. Gmail) and go to Settings > Add account > Other.
  2. Enter your full email address, choose Personal (IMAP), then enter your password.
  3. Incoming server: mail.yourdomain.co.za, port 993, SSL/TLS. Outgoing server: mail.yourdomain.co.za, port 587, STARTTLS, with authentication on.
  4. Finish and send a test message.

Troubleshooting

"Cannot verify server identity" / certificate warnings — double-check you typed the server name exactly as shown above.

Can receive but not send — the outgoing server needs authentication switched on (same username/password as incoming), and port 587. Some networks block port 25; we use 587 precisely to avoid that.

Password rejected — make sure you're using your full email address as the username. If it still fails, reset the mailbox password in SolidCP (see How to change your email password in SolidCP).
